Member & Operations Specialist

Position Summary:
The primary role of the Member and Operations Specialist is to ensure the smooth functioning of the Billings Chamber of Commerce handling a variety of operational tasks and providing exceptional support to our members. This position requires a strong focus on customer service, attention to detail, and a keen ability to multitask effectively and is an integral part of the organization's daily operations and contributes to its overall success.
 
Key Accountabilities:
The Member and Operations Specialist plays a crucial role in maintaining the organization's efficiency and ensuring members or clients have a positive experience. Attention to detail, strong organizational skills, and customer-oriented approach contribute significantly to the overall success of the organization.
 
Duties and Responsibilities:

  1. Member Support: Provide outstanding customer service to members and general public by addressing inquiries, resolving issues, and offering appropriate solutions. This includes responding to queries via phone, email, or in-person interactions.
  2. Operations Management: Assist in managing the day-to-day operations of the organization. This may involve answering the phone, managing building access, coordinating schedules, organizing meetings, maintaining records, and ensuring compliance with company policies and procedures.
  3. Data Management: Handle data entry, maintain databases, and manage information related to members, projects, or operations. Accuracy and attention to detail are crucial in this aspect of the role.
  4. Membership Processing: Facilitate the onboarding and registration process for new members or clients, ensuring a seamless experience and adherence to established protocols.
  5. Administrative Support: Provide administrative assistance to various teams or departments within the organization. This may include document preparation, filing, and general office management tasks.
  6. Event Coordination: Assist in organizing events, workshops, or conferences. This involves coordinating logistics, handling registrations, and ensuring smooth event execution.
  7. Process Improvement: Identify opportunities for enhancing operational efficiency and member satisfaction. Collaborate with team members to implement improvements and streamline workflows.
  8. Collaboration: Work closely with other team members to support their efforts and maintain a cohesive and productive working environment.
  9. Executive Support: Support Chamber President/CEO in all governance and administrative functions for the Chamber Board of Directors and Chamber Foundation including meeting agendas, minutes, board nominations, Legacy Award, and board orientation.
  10. Meeting Coordination: Coordinate and prepare meeting space for Board of Directors meetings and subcommittees. Assist with additional committee and Network meeting coordination as needed (e.g. Major Investor Network, Past Board, Diversity & Inclusion Advisory Board, Leadership Billings, Women’s Network)
Qualifications:

  • Team player: Capability to collaborate and contribute to the success of the team and organization.
  • Proficiency in relevant software: Familiarity with office suites, databases, and other software tools used in operations and customer support.
Experience Two or more years of experience in a field related to customer service.

Classification/Hours: Non-exempt, full-time
